About the Job:
The Grant Manager is responsible for grant management, related systems and processes, and grant related projects. They report to the Operations Director, work cooperatively with other Grant Manager(s) and operations team members, and work closely with the programmatic staff and grantees. They ensure timely processing of grants, appropriate and professional communications with a variety of stakeholders, and they continually improve and refine systems. They assist with the development of operational policies and procedures and support the strong operations of the organization. They participate in projects within the operations department as requested and provide coverage to other Grant Managers and other operations staff in their absence.

The Energy Transition Fund is a funder collaborative that was established in 2019 to support regional and global strategies to create the conditions for a just and equitable phase-out of oil and gas production, in line with the Paris Agreement climate limits. Responsibilities:
The key responsibilities outlined below are interpreted as being descriptive in nature and are not an exhaustive list of all possible job responsibilities, tasks, and duties.
Grant Management
- Develops and maintains an expert knowledge of the grant platform
- Acts as a lead on administering the grants platform
- Creates and keeps current tracking systems for grants and ensures that those systems are available to appropriate staff
- Flags issues with grant applications and renewals with both grantees and program staff and tracks resolutions
- Creates appropriate timelines for grants and ensures that grants move through the application and renewal process quickly and effectively
- Tracks deadlines for proposal and report submissions
- Surveys grantees and peer foundations to evaluate current grant platform’s ease of use and makes improvements or makes recommendations for improvements to the fiscal sponsor
- Continually enhances the grants administration processes for staff and grantees and increases efficiency
- Continually builds grants administration skills through webinars, research, and other self-directed actions
- Creates and maintains a manual of all grant procedures and systems for the team
- Cooperates effectively with other Grant Manager(s)
Grantee Support Services
- Serves as primary point of contact to grantees during the grant application and renewal process
- Generates guides and resources for grantees and ensures appropriate distribution of these materials
- Ensures there is a suite of grant application templates from various regions
- Builds comprehensive language support services for grantees for both the translation of documents and usage of the grantee portal
- Builds with support a risk assessment system for grantees and connects grantees to resources to mitigate risks identified
- Oversees the creation and maintenance of resource lists for grantees
- Continually assess the grants process from an equity lens and recommend changes to reduce identified issues
- Continually considers barriers to success for grantees and takes action to mitigate barriers
- Contracts vendors as appropriate for grantee support services and anticipates new requirements
- Assesses costs for support services and tracks spending against any established budgets
- Creates grant related contractor agreements and ensures onboarding of independent contractors and vendors into payment systems
- Submits and tracks invoicing related to grantee support
Program Staff Support
- Develops and maintain knowledge of the work of the program staff and maintains an understanding of how their work and the work of their grantees relate to the mission
- Liaises regularly with program staff to understand upcoming support services needed for grantees
- Generates guides and resources on grant making as needed for program staff and ensures distribution of these materials
- Work closely with program staff to ensure grant reporting is timely and appropriate
Operations Support
- Assists with development of operational policies and procedures and supports the strong operations of the organization
- Participates in projects within the operations department as requested
- Train new staff on the grant management platform and grant processes
Meaurement and Evaluation
- Tracks grant disbursements against the budget and keeps the program team informed of budget usage, and synthesizes information for presentation to stakeholders
- Establishes benchmarks for various aspects of the grant making process and tracks actuals against benchmarks and reports
Other Duties
- Provides coverage for other operations team members in their absence.
- Conducts research to support grantmaking, as directed
- Develops, completes or manages ad hoc projects as directed
- Collaborates with colleagues to help ensure the best outcomes for ETF and our partners
Requirements:
- University degree or equivalent experience
- Excellent written and oral communication skills in Spanish strongly preferred
- Excellent written and oral communication skills in English required
- Specialized training in operations, system design, information management and project management preferred
- At least 3 years of related work experience
- Experience with grant management platforms, preferably FLUXX
- Fluency in data, spreadsheets, online systems and information management
- Experience working with budgets and financial documents a plus
- Ability to work independently and as a team player
- Strong interpersonal skills and ability to work with diverse groups of people
- Superior written and oral communication skills in English
- Effective time management even with frequent interruptions
- Commitment to maintain confidentiality
- Experience working in a cross-cultural environment an asset
- Experience with philanthropy and knowledge of environmental issues an asset
- Strong organizational skills
- Ability to learn quickly, juggle multiple tasks, prioritise effectively and meet deadlines

WORK ENVIRONMENT
ETF operates globally. Most team members choose to work from their home, but there are reimbursements for local office rentals if that is preferred. Work hours are flexible but staff will at times be expected to attend meetings that are outside of normal daytime hours. Some international and regional travel will be required. A computer and other office equipment will be provided. The ETF team is a diverse and growing team, located across the globe, and works remotely or co-locates with partners and colleagues as appropriate.
